Private venue hire in Dakar: what to ask before you book

To hire a venue privately in Dakar, ask the same questions of any provider: how many people the space really holds, what is included (food, service, furniture, sound), the hours, and the booking conditions. Why hire a villa rather than a hall

A villa has one advantage over a standard reception hall: character. A garden, a terrace, a living room and several rooms let guests move around, welcome outdoors and serve indoors, or the reverse. For a dinner, a reception or a corporate lunch, atmosphere changes everything, because guests talk more in a warm setting.

The trade-off is logistics: a villa is not a conference centre. You need to clarify in advance what the house can do and what you will have to bring.

Eight questions to ask any venue

1. What is the real capacity? Ask for seated and standing numbers, and whether the figure includes the garden.
2. What does the price include? Venue hire alone, or food, service, drinks, cleaning?
3. Does the venue require its own caterer? Some allow an outside provider, others do not.
4. What hours are possible? Arrival time for setup, finishing time, any noise limit.
5. What happens if it rains? For an outdoor event, ask for the fallback plan, especially in the rainy season.
6. What are the cancellation terms? And the deposit required.
7. What technical facilities exist? Sound, projection, power, connectivity: assume nothing.
8. What access and parking? Number of vehicles possible and security at arrival.

• venue hire or a minimum spend;
• food and drinks per person;
• extras: entertainment, decoration, sound, photographer;
• staff and cleaning, if not included.

The house is a villa with a garden and terrace at 656 avenue Birago Diop, in Point E. It hosts lunches, dinners, receptions and team-building days, in whole or in part. Classic mistakes

Three traps come up often. The first is fixing the number of guests too late: the venue, the menu and the budget depend on it. The second is not planning a weather fallback for an outdoor event, especially during the rainy season. The third is neglecting setup and clear-down time: a venue booked from 7pm to 10pm often means you arrive before and leave after. Confirm these time slots in writing.

Finally, think of your guests: how they arrive, where they park, whether a driver can wait. An event is also judged by how smooth arrival and departure are.

Which format for which event

A team lunch mostly needs a well-placed table and smooth service. An embassy reception or a national day requires more space and movement between areas. A birthday favours atmosphere and cake. A word on timing

Good venues fill quickly on Fridays, Saturdays and around holidays. If your date is fixed, ask early, and keep a backup date. Confirm the guest count a few days before, along with dietary needs, so the kitchen can prepare properly. A short call the day before to check the plan is worth the trouble.
